Events
Registration, cancellation & refund policy.
Last updated: 20 October 2026
I believe events should bring people together without unnecessary financial stress. Plans change, unexpected things happen, and sometimes I need to adjust an event too.
This policy explains how registrations, cancellations, refunds and event changes are handled for the events I organise. My aim is to be fair and transparent to participants, and realistic about the effort and cost that goes into running an event. See the current list on the events page.
1. Scope of this policy
This policy applies to all free and paid events organised by me, including photo walks, workshops, online sessions, networking meetups and other community events. Any event-specific conditions will be shown clearly on the event listing or registration page before you register or pay.
2. If you cancel
If you have registered for a paid event and can no longer attend, you can ask for a cancellation and refund as follows:
| When you cancel | What you get back |
|---|---|
| 72 hours or more before the event | 100% refund |
| Less than 72 hours before the event, but before it begins | Refund minus reasonable, documented costs I cannot recover, capped at 15% of the ticket price |
| After the event has started, or if you do not turn up | No refund ordinarily |
Any deduction reflects costs genuinely incurred for your booking. I do not charge arbitrary penalties and I will not keep more than the disclosed limit. If no such costs were incurred, you get a full refund.
You can also transfer your place to another person before the event begins at no extra charge, subject to the event’s own admission conditions. Just tell me their name before the event.
3. If I cancel an event
If I cancel an event, I will tell registered participants as soon as reasonably possible. For paid events:
- You receive a full refund of what you paid, including any compulsory booking charges.
- You do not have to accept a replacement event, voucher or credit instead of your money back.
- If I cancel less than 72 hours before the scheduled start, I will also pay you an extra amount equal to the maximum 15% deduction described in Section 2, as an acknowledgement of the inconvenience.
I will explain the reason for the cancellation and your options promptly.
4. Postponements and significant changes
If an event is postponed or materially changed, for example a significant change of date, time, location or format, you can choose between:
- keeping your registration for the revised event; or
- taking a full refund if the new arrangements do not suit you.
You will not be asked to pay anything more unless you choose to upgrade to a separately priced option. Minor changes that do not materially affect the event, such as a replacement facilitator with comparable experience, will be communicated wherever reasonably possible.
5. Emergencies and unforeseen circumstances
Medical or family emergencies, transport disruption and other unexpected situations can stop anyone from attending. Please contact me as early as you can. I will consider reasonable exceptions to the standard policy case by case, and depending on the situation I may offer a full refund, a transfer of your place, or credit towards a future event. You will not ordinarily need to share personal medical details for your request to be considered.
6. Circumstances beyond my control
An event can be affected by things outside reasonable control, such as severe weather including Mumbai monsoon conditions, natural disasters, government restrictions, public emergencies or major technical disruption. If an event is cancelled for such a reason, you receive a full refund of the registration amount. Where only part of an event is delivered, I will assess a fair refund for the part not provided. None of this limits any rights you have under applicable law.
7. Online events and technical issues
For online events you are responsible for a reasonably suitable internet connection and a compatible device. If a technical problem on my side prevents the event from taking place or materially prevents you from taking part, I will offer a replacement session or an appropriate refund, including a full refund if the event was not delivered. Problems with your own connection are considered fairly but do not automatically qualify for a refund.
8. Free events
No registration fee is collected for free events, so there is nothing to refund. If you cannot attend, please cancel your registration so someone else can have the place, since spaces are often limited. Repeated no-shows may be taken into account when managing capacity for future free events, and any such restriction will be reasonable and communicated to you.
9. How refunds are processed
Eligible refunds are initiated within 7 working days of receiving your complete request, or of confirming that I have cancelled the event. Refunds normally go back to the original payment method, and the time for the money to show in your account depends on your bank or payment provider.
Where registration and payment are handled through a third-party ticketing or payment platform linked from the event page, I will coordinate with that platform to process the refund. The platform’s own terms do not override your legal consumer rights. All compulsory charges are shown before you pay, and no undisclosed cancellation or administrative fees are added.
10. How to ask for a cancellation or refund
Email hello@rouell.com (or use the contact page) with:
- the name you registered with;
- the event name and date;
- your booking or payment reference, if you have one; and
- a short description of what you are asking for.
I acknowledge requests and complaints within 48 hours and aim to resolve them within 30 days.

11. Consumer rights and complaints
This policy is meant to work alongside the Consumer Protection Act, 2019, the Consumer Protection (E-Commerce) Rules, 2020 where they apply, and other relevant Indian law. Nothing here limits or overrides any right or remedy you have under the law.
If you are not satisfied with how a complaint was handled, you can contact the National Consumer Helpline on 1915 or at consumerhelpline.gov.in, or approach the appropriate consumer dispute redressal authority.
12. Changes to this policy
I may update this policy as my events or the law change. An updated policy applies to new registrations. If you have already registered, the terms you accepted at booking continue to apply, unless a change is legally required or is more favourable to you.
My principle is simple: participants should not lose money unfairly, and I should not have to absorb unreasonable losses caused by avoidable last-minute changes.
